Administrative Requests

Many non-medical requests can be submitted online using Online Book, making it quicker and more convenient to contact the practice.

Submitting your request online helps us direct it to the appropriate member of our team and allows us to respond more efficiently.

What can I request?

You can use Online Book for a range of administrative requests, including:

  • GP letters (where appropriate)
  • Insurance forms
  • Medical reports
  • Requests for copies of your medical records
  • Questions about referrals
  • Questions about hospital letters
  • Updating your personal details
  • General administrative enquiries

If you’re unsure whether your request is administrative or medical, simply submit your request through Online Book and we’ll ensure it reaches the appropriate team.

Before submitting your request

Please provide as much information as possible, including:

  • What you are requesting
  • Any relevant dates
  • The organisation the request relates to (if applicable)
  • Any deadlines you are working to

Providing complete information helps us process your request as quickly as possible.

Response times

Administrative requests vary in complexity and may take different amounts of time to complete.

Where possible, we’ll deal with straightforward requests promptly. If your request requires clinician input or information from another organisation, it may take longer.
Requests for GP letters, insurance forms and medical reports can take up to 30 days to complete. These requests often require a GP to review your medical records and complete documentation outside of routine NHS clinical work.

If a private fee applies, we’ll let you know before any work is carried out.

If we need any further information, we’ll contact you.
